1. What Information We Collect
When you contact us for a quote or make a booking, we may collect:
- Your name and contact details (email, phone)
- Event details (date, venue, guest count, event type)
- Billing details for confirmed bookings (processed via our payment provider, we never store card numbers)
- Any additional information you choose to provide in your enquiry
We do not collect special-category data (health, ethnicity, religion, etc.) in the ordinary course of an enquiry. If event briefing notes contain incidental information of this kind, we treat it with the same care as the rest of your enquiry data and do not use it for any other purpose.
We do not knowingly collect personal data from anyone under 13.
2. How We Use Your Information
We use your information to:

We do not sell, rent or share your personal information with third parties for marketing purposes, and we do not send unsolicited marketing emails.
3. Who We Share Your Information With
We share your information only with the third parties we need to in order to run the business:
- Our payment provider, for processing card payments on confirmed bookings
- Our accountant, for tax and statutory accounting
- Our event-management software (a UK/EU-hosted CRM system) for managing your booking
- HMRC and other regulators, where legally required
Each of these processors handles data under a written contract that meets the UK GDPR requirements for processors.
4. How Long We Keep Your Data

5. International Transfers
Our day-to-day business operates within the UK and the EEA. Where a processor (for example, an email service) hosts data outside the UK/EEA, we rely on the UK International Data Transfer Agreement (IDTA), an Addendum to the EU Standard Contractual Clauses, or an equivalent UK GDPR safeguard. Where you consent to analytics, Google Analytics and Google Ads (Google LLC) may process data in the United States under the UK Extension to the EU-US Data Privacy Framework. A consent banner appears on first visit. Accept loads Google Analytics and Google Ads measurement. Reject keeps the site tracker-free for you: we load nothing from Google, and no analytics or advertising cookies are set. Either choice is remembered for this browser; clear your site data to be asked again.
If we ever add a different analytics, marketing or advertising tracker, we’ll update this table and re-prompt for consent before it loads.
7. Your Rights Under UK GDPR
You have the right to:
- Access: request a copy of the personal data we hold about you
- Rectify: request correction of inaccurate or incomplete data
- Erase: request deletion of your data (subject to legal retention requirements above)
- Restrict or object: to certain processing activities
- Portability: receive your data in a structured, machine-readable format
- Withdraw consent: at any time, where consent is the lawful basis (your enquiry data is not held on consent, but you can ask us to stop processing at any point)
- Not be subject to automated decision-making: we do not use automated decision-making or profiling

8. Right to Complain to the ICO
If you’re unhappy with how we’ve handled your data, you can complain to the UK supervisory authority:

9. Security
Your data is stored on systems protected by industry-standard encryption in transit (TLS 1.2+) and at rest. Access to personal data is restricted to staff who need it to do their job. We use strong passwords and multi-factor authentication on systems that hold personal data.
If we ever become aware of a personal data breach that’s likely to result in a risk to your rights, we’ll notify the ICO within 72 hours and (if the risk is high) notify affected individuals directly.
10. Changes to This Policy
If we change this policy materially, we’ll update the “Last updated” date at the top and, where appropriate, notify clients with active bookings by email.
